1) Who we are

TaskWizard Limited (“we”, “us”, “our”) provides remote virtual assistant services.

This notice explains how we handle personal data under the UK GDPR and the Data Protection Act 2018.

2) Scope of this notice

This policy covers personal data processed when you visit our website, contact us, become our client or supplier, or apply for a role. When we process personal data strictly on a client’s documented instructions, the client is the data controller and our separate contract (including any data processing terms) applies.

3) Personal data we collect

  • Identity & contact — name, job title, email, phone, company details.
  • Business & contract — service requirements, task briefs, agreements, billing details.
  • Communications — emails, messages, call notes and related metadata.
  • Usage & device — basic analytics (pages viewed, approximate location, device/browser) via cookies or similar technologies (see Cookies).
  • Marketing preferences — your choices about receiving updates.
  • Recruitment — CVs, application details and interview notes.

We do not seek special category data. Please avoid sending it unless essential and agreed in advance.

4) Where we get your data

  • Directly from you (forms, email, phone, meetings).
  • From your colleagues/representatives when coordinating work.
  • From publicly available sources (company websites, public registers).
  • From service providers that support our operations (e.g., hosting, email, CRM, analytics) in line with this policy.

5) How we use your data & lawful bases

  • Deliver services and manage our relationship — performing a contract or taking steps at your request before entering one.
  • Customer support and communications — our legitimate interests in running an effective business and keeping records.
  • Billing, accounting and compliance — to meet legal obligations (e.g., tax/audit).
  • Improve and secure our services and website — our legitimate interests in quality, security and performance.
  • Marketing — with your consent where required; you can withdraw consent or opt out at any time.
  • Recruitment — our legitimate interests and/or steps prior to a contract.

6) Who we share data with

We share personal data only as needed for the purposes above:

  • Service providers that supply hosting, email, productivity tools, cloud storage, CRM, analytics, scheduling, and payment processing — bound by contracts and confidentiality obligations.
  • Professional advisers (legal, accounting) and authorities where required by law.
  • Business transfers in connection with a reorganisation, merger or asset sale (we will notify you where appropriate).

We do not sell personal data.

7) International transfers

If personal data is transferred outside the UK/EEA, we rely on appropriate safeguards such as an adequacy decision or standard contractual clauses (including the UK International Data Transfer Addendum). Details are available on request.

8) How long we keep data

We keep personal data only as long as necessary for the purposes above and to meet legal, accounting or reporting requirements. Typical periods include:

  • Client records & work product: usually up to 6 years after the end of our engagement.
  • General enquiries & routine communications: up to 24 months.
  • Recruitment records: up to 12 months (unless you ask us to keep them longer).

9) Security

We implement appropriate technical and organisational measures to protect personal data against unauthorised access, alteration, disclosure or loss. No method of transmission or storage is completely secure, but we review our measures periodically and adjust them as needed.

10) Your data protection rights

Subject to conditions and exemptions in law, you can:

  • Request access to your personal data and obtain a copy.
  • Request correction of inaccurate or incomplete data.
  • Request erasure or restriction of processing in certain circumstances.
  • Object to processing based on legitimate interests and to direct marketing at any time.
